ClickUp Alternatives: 8 Simpler Tools Compared on Price and AI

ClickUp is rarely dropped for missing a feature. It is dropped because it has so many: Spaces, Folders, Lists, custom fields, task types, views, automations and several layers of AI, all of which someone has to set up and keep tidy. If your team wants something simpler, this guide compares eight alternatives on price, free plans, team chat, Gantt charts and how AI is billed, with prices checked on each vendor’s own pricing page on 20 October 2026.

A note on fairness: we make PeerBie, which is one of the eight. ClickUp does more than any tool here, often for less money, and we say so where it matters.

The short answer: which ClickUp alternative fits which team

  • Simple boards for a small team, free: Trello.
  • One flat price and a calm, simple setup: Basecamp.
  • Clear structure for projects and goals: Asana.
  • Flexible boards and dashboards: monday.com, if you are at least 3 people.
  • Docs and wiki first: Notion.
  • Software teams: Linear.
  • Your company already pays for Microsoft 365: Microsoft Planner.
  • Tasks, team chat, meetings and goals in one app, with an AI assistant and one AI price: PeerBie.

Why teams look for a ClickUp alternative

ClickUp is good value: the Free Forever plan allows unlimited members, Core is $9 per user a month billed yearly ($12 monthly), and it includes chat, docs, Gantt charts, goals and dashboards. These are the reasons teams still leave.

1. It takes a long time to set up, and to keep set up

ClickUp lets every team build its own hierarchy, fields and views. That flexibility is the point, but it also means someone becomes the ClickUp administrator, and new people need training before they find their work.

2. AI comes in layers

Every plan includes a pooled monthly allowance of AI credits (1,000 per user on Core, 1,500 on Business). On top of that, ClickUp sells Brain AI at $9 per user a month and Everything AI at $28, which is where the unlimited AI Notetaker sits. Extra credits are $10 per 10,000. It is powerful, but it is hard to know in advance what a month will cost.

3. The pricing page is hard to read

On 20 October 2026 ClickUp’s pricing page showed two line-ups side by side: Core $9, Business $17 and Max $100 per user a month billed yearly, and an older Unlimited $7 and Business $12. Check which plans you are actually offered before you compare.

4. The free plan fills up fast

Free Forever has no member limit, but storage is 60 MB and you get 5 Spaces. A team that shares files outgrows it quickly.

The eight alternatives, one by one

Trello: the simplest board

Trello is still the fastest way to get a small team moving: cards on a board, nothing else to learn. It is free for up to 10 collaborators per workspace; Standard is $5 and Premium $10 per user a month billed annually ($6 and $12.50 monthly), and Premium adds timeline, calendar, table and dashboard views.

Watch out for: no team chat, no goals, and reporting stays basic. Teams that outgrow Trello often end up back on something like ClickUp.

Basecamp: calm and flat-priced

Basecamp is the opposite of ClickUp: a fixed set of tools per project (to-dos, message board, schedule, docs and files, Campfire chat) with almost nothing to configure. It charges per account, not per person: Freelancer $29 a month (3 projects, 5 users), Pro $79 (10 users), Pro Plus $99 (15 users) and Pro Unlimited $199 a month billed annually ($329 monthly) for unlimited users.

Watch out for: no goals, no workflow builder and no built-in AI (it offers ChatGPT and Claude connectors instead).

Asana: structure without the building

Asana has fewer knobs than ClickUp and a more opinionated way of working, which many teams find easier to adopt. List, board, timeline and Gantt views come from Starter ($10.99 per user a month billed annually); goals, portfolios and workload are on Advanced ($24.99).

Watch out for: it costs more than ClickUp, seats are sold in blocks once you pass 5 users, and AI is counted per request. More in our guide to Asana alternatives.

monday.com: flexible, but easier to start

monday.com is as flexible as ClickUp but feels simpler on day one, and its dashboards are excellent. Basic is $9, Standard $12 and Pro $19 per seat a month billed annually, with a 3-seat minimum; timeline and Gantt views start on Standard.

Watch out for: no team chat, and AI runs on monthly credits.

Notion: when the docs matter most

If your team mostly writes (specs, wikis, meeting notes) and tracks a modest number of tasks, Notion is a calmer home than ClickUp Docs. Plus is $10 and Business $20 per member a month, less with yearly billing; full Notion AI, including AI Meeting Notes, starts on Business.

Watch out for: you still build your own system from databases, and there is no team chat.

Linear: for software teams

If you came to ClickUp for sprints and bug tracking, Linear is faster and much more focused. There is a free plan; Basic is $10 and Business $16 per user a month billed yearly.

Watch out for: it is built for product and engineering work, not for the rest of the company.

Microsoft Planner: already in your Microsoft 365

Basic Planner comes with Microsoft 365 business plans, and it shows up inside Teams and Outlook, so there is nothing new to roll out. Premium planning is in Planner Plan 1 ($10 per user a month) and Planner and Project Plan 3 ($30). Our guide to task management in Microsoft 365 explains which option does what.

Watch out for: chat, notes, goals and AI each live in a different Microsoft product or licence.

How PeerBie keeps it simple

PeerBie is a work platform that puts tasks, goals, team chat, a company feed and meetings in one app, with an AI assistant, Lucy, available as an add-on. It has fewer settings than ClickUp on purpose. Here is what you get, and where it falls short.

Less to set up

You do not design a hierarchy before you start: create a project, add tasks and invite the team. Projects come in list, board, calendar and Gantt views, with a Reports tab per project, with recurring tasks, milestones, start/pause time tracking, timesheets and project dashboards, and everyone has one My Tasks list with what is overdue, due today and due this week. See projects and tasks.

Conversations next to the work

Team chat, direct messages, a company feed with posts, polls and events, and Huddles (drop-in audio rooms with screen share on the web) are included on every plan, including the free one.

Goals on every paid plan

Goals and OKRs run from company to department, team and person, from Basic. Key results can move from linked projects or check-ins, and on Pro from connected tools such as HubSpot and Stripe. See Goals & OKRs.

Meetings that end in assigned tasks

You can create Zoom, Google Meet or Microsoft Teams meetings from PeerBie on every plan. With the Lucy add-on, a silent note-taker joins the calendar meetings you choose and files the summary, decisions and action items; you check them and they become tasks with owners and due dates. See Meetings & notes.

One AI price

Lucy and AI employees come as one add-on: $20 per user a month on Pro and Enterprise, with no credits and no second AI plan to choose. Lucy works with your tasks, Gmail or Outlook, calendar and meeting notes, can set up a project from one sentence, and asks before she sends an email or deletes anything. AI employees propose work each morning and act after you approve. See pricing.

Where PeerBie is weaker than ClickUp (and others)

  • Fewer features overall. ClickUp also has whiteboards, mind maps, sprint tools and much more. If your team uses those every day, ClickUp is the better fit.
  • No timeline or Gantt view. ClickUp, Asana (from Starter) and monday.com (from Standard) have one.
  • It costs more per seat than ClickUp. PeerBie Basic is $10 against ClickUp Core at $9, and Pro plus Lucy is $35 per user a month billed annually.
  • A smaller integration list: 30+ integrations with real actions, against marketplaces with hundreds of apps.
  • No desktop app: PeerBie runs on the web, iPhone and Android. Huddles are web only.
  • A younger product with a smaller community and fewer templates.

What a 10-person team would pay

List prices billed annually, as of 20 October 2026.

OptionPer user / monthPer year (10 users)
ClickUp Core$9$1,080
ClickUp Core + Brain AI$18$2,160
ClickUp Business + Everything AI$45$5,400
Trello Standard$5$600

Asana Starter$10.99$1,319
PeerBie Basic$10$1,200

ClickUp AI add-ons at $9 and $28 per user a month as shown on its pricing page (yearly billing may be lower). Basecamp Pro Plus is $99 a month for the account. Taxes and discounts not included.

The honest reading: ClickUp is hard to beat on price, with or without AI. You move away from it for simplicity, not to save money. PeerBie Basic costs a little more than ClickUp Core; PeerBie with Lucy costs less than ClickUp Business with Everything AI, and more than ClickUp with Brain AI.

How to choose: five questions

  1. Who will administer the tool? If nobody wants that job, pick a tool with fewer settings: Trello, Basecamp or PeerBie.
  2. Do you need Gantt charts and dependencies? Asana, monday.com Standard, or stay on ClickUp.
  3. Do you want chat in the same app? Basecamp, PeerBie, or stay on ClickUp.
  4. Are you a software team? Linear.
  5. How much AI will you really use? Occasional use fits included credits; daily use is easier to budget with a flat per-user price.

Switching from ClickUp without losing work

  1. Export your workspace before you start, and keep ClickUp read-only for a month.
  2. Move one team and its live projects first, not the whole workspace.
  3. Do not rebuild every custom field: keep the ones people actually filter by.
  4. Recreate recurring tasks first; they carry most of the routine.
  5. Run your next three meetings in the new tool and check that the action items end up as owned tasks.
