Zapier vs Make vs n8n vs PeerBie for Team Workflows: Testing, Approvals and AI
Zapier, Make and n8n are excellent at moving data between apps: when a form is submitted, add a row; when a deal closes, post in Slack. If that is your problem, one of them is likely the right answer.
But many teams searching for a Zapier alternative have a different problem: their process involves people who review, approve and reply, and increasingly AI that does part of the work. This comparison looks at Zapier, Make, n8n and PeerBie through three questions: testing, approvals and AI. All competitor facts come from each vendor’s own pages, checked on 29 October 2026, with links at the end. We make PeerBie, and we say where the others are the better choice.
The short answer
- Zapier: the widest app catalogue (9,000+ apps) and the easiest start. Best for connecting many apps with little setup.
- Make: a visual scenario builder with fine control over data, and pricing by credits rather than seats. Best for complex data flows on a budget.
- n8n: the most developer-friendly, with strong testing tools and a free self-hosted Community Edition. Best for technical teams who want control.
- PeerBie: built for team workflows with stages, owners, approvals and AI employees. It has far fewer integrations (30+ tools), but a test run that previews every email and message while the AI really runs. Best when people and AI share a process.
How each tool is built
Zapier, Make and n8n are integration platforms: a trigger in one app starts a chain of actions in other apps. People mostly appear as recipients of messages, or through add-on approval steps.
PeerBie is a workspace for team processes. A workflow is a set of stages on a canvas, each owned by a person or an AI employee, with forms, approvals and rules that move items between stages. It connects to the tools teams use most (Gmail and Outlook, Google and Microsoft calendars, Slack, Google Sheets and Docs, HubSpot and others), not to thousands of apps.
If your workflow is mostly apps talking to apps, choose an integration platform. If it is mostly people and AI working on requests, you would otherwise rebuild the “people” part yourself.
Testing: what happens when you press Test
| What testing does | Does a test send real messages? | History | |
|---|---|---|---|
| Zapier | Test step for each step, or Test run for the whole Zap. Testing does not use tasks. | Yes. Zapier’s help says testing an action “is live and may result in changes made in your app”. You can Skip test on most action steps. | Zap history, with at least 60 days of run data guaranteed; replay of runs |
| Make | Run once runs the scenario right away and shows how many operations each module used; Choose where to start picks the input data. | Make does not describe Run once as a dry run; its own tutorial posts real Slack messages with it. | Scenario history; run replay on all plans (replays use credits) |
| n8n | Execute workflow for manual runs, Execute step for one node, pinned data to reuse saved output, a webhook Test URL separate from the production URL, and Debug in editor for past runs. | Nodes run for real, unless you pin their data or disable them while building. | Execution log (retention depends on plan) |
| PeerBie | Test run: a sample item visibly moves across the canvas; you choose the path at person steps; a panel lists each AI decision with its reason. Start from an email checks a real email against the trigger rules (✓/✗ per rule). | No. Emails, Slack messages, webhooks and notifications are only previewed; AI steps really reason. Free, 10 runs a day per workspace. | Run log for every item: who moved it, what each AI employee did and why |
n8n’s pinned data and test webhook are genuinely strong for developers, and Zapier’s per-step testing is the simplest to learn. PeerBie’s difference is that the whole workflow, AI decisions included, can be rehearsed without anything leaving the workspace. Our guide to testing a workflow before it goes live shows the routine step by step.
Approvals: where the human sits
- Zapier has Human in the Loop, a built-in tool whose Request Approval action pauses a Zap until reviewers approve, decline or change the data. It is a premium app and needs a paid plan.
- Make offers an official Human in the loop (Enterprise) app that creates review requests and resumes when they are completed. It is presented as part of Make Enterprise; on other plans, approvals are built by hand.
- n8n has Send and Wait for Response on nodes such as Slack and Gmail, a Wait node that can resume on a form or webhook, and human review before an AI agent uses a tool. No plan restriction is stated on those pages.
- PeerBie treats approval as an ordinary stage: put a person anywhere in the flow, and nothing goes further until they have looked at it. The person is notified and every decision is on the record. Rules can skip an approval, for example under an amount limit.
AI: steps, agents or employees
- Zapier offers AI by Zapier steps inside Zaps (paid plans, charged in tasks), Copilot to help build, and Zapier Agents, priced separately from Zaps (a free tier with 400 activities a month, then paid tiers).
- Make offers Make AI Agents (labelled beta on the pricing page, available on all plans) and Maia, which builds scenarios from a conversation. AI use consumes credits.
- n8n has an AI Agent node: connect a chat model and tools, and the agent decides which tools to call. Cloud plans include AI Assistant credits; self-hosted users bring their own key.
- PeerBie has AI employees: hired from roles, they own stages and work with your connected tools; drafts come to a person before anything is sent. Lucy can also build a workflow from one sentence, as a draft you review before publishing. AI-employee stages and workflows built by Lucy need the Lucy AI add-on.

| PeerBie | Starter: up to 5 people and up to 5 workflows | Basic $10, Pro $15 per user a month, billed annually ($13 / $19 monthly); Lucy AI add-on $20 per user a month on Pro and above | Per user; no credits or meters |
For a large team with a few high-volume automations, per-account pricing (Zapier, Make, n8n) is usually cheaper. When everyone works inside the workflows, submitting, approving and owning stages, per-user pricing also covers the workspace they work in. See PeerBie pricing for the details.
Which one should you choose?
Choose Zapier if you need to connect many different apps quickly and your team prefers the simplest builder.
Choose Make if your automations involve complex data handling, branching and transformations, and you want to pay for usage rather than seats.
Choose n8n if you have technical people, want to self-host or write code where needed, and value developer testing tools such as pinned data.
Choose PeerBie if your process is a team process: requests that people and AI employees work on in stages, with approvals, and a test run you can show to the people who own each step. PeerBie workflows can start in seven ways, including an email, a schedule and a webhook. Starting a PeerBie workflow directly from Zapier or Make is in development; today, both can start one through its webhook.
Many teams use both: an integration platform for app-to-app plumbing, and PeerBie for the processes people own.

Frequently asked questions
What is the best Zapier alternative?
It depends on the job. Make suits complex data flows priced by credits, n8n suits technical teams and self-hosting, and PeerBie suits team processes where people and AI employees work in stages with approvals. For connecting the largest number of apps, Zapier itself is hard to beat.
Does testing a Zap send real data?
Yes. Zapier’s help centre says that when you test an action step, Zapier performs the action and testing is live. You can skip the test on most action steps. Testing does not use tasks.
Which tool lets me test a workflow without sending anything?
PeerBie’s test run previews emails, Slack messages, webhooks and notifications instead of sending them, while AI steps really run. In n8n you can pin data or disable nodes while building to avoid touching other services.
Which tools have built-in human approvals?
Zapier has Human in the Loop on paid plans. Make has a Human in the loop app for Make Enterprise. n8n has Send and Wait for Response and a Wait node. In PeerBie an approval is an ordinary stage owned by a person.
Is PeerBie cheaper than Zapier?
It depends on team size and usage. Zapier, Make and n8n price per account by usage, PeerBie per user. PeerBie’s free Starter plan covers up to 5 people and 5 workflows; Basic is $10 and Pro $15 per user a month billed annually, and the Lucy AI add-on is $20 per user a month.
